HSA Annual Dues: $25.00 per family. Dues must be paid at the beginning of the school year. There is a 30-day grace period for payment, after which dues will accrue a $5.00 per month late fee.
Service Hours and Family Assessment
Because tuition does not cover all of the expenses of the school, with expenses being defined as those materials needed to run the school from day to day, it is necessary that every family participate in the fundraising programs outlined by the school administration and/or HSA. This is known as the “assessment.”
Our assessment for the 2009-2010 school year is $75,000.
The assessment directive is aimed at insuring that every family contributes equally. The school succeeds because of everyone’s participation.
The required assessment and service hours for each family must be completed by the first week of May. Service hours completed after the first week of May are applied to the following school year.
Families in K–8th Grade: Yearly assessment is $400.00 and thirty (30) service hours.
Families in PreK-4 (three-day program): Yearly assessment is $250.00 and fifteen (15) service hours. Applies only to families who don’t have children in K–8th Grade.
Families in PreK-3: Yearly assessment is $250.00 and ten (10) service hours. Applies only to families who don’t have children in K–8th Grade.
Please Note:
- There is a $10.00 per hour fee billed at the end of the school year for every unfulfilled service hour.
- Service hours may not be transferred from one family to another.
- Service hours tracking is by self-reporting.
Forms for recording volunteer hours are distributed at the start of the school year and additional forms are available in
the school office. Completed forms must be dropped in the Volunteer Hours box in the office before May 1, 2010.
It is important to be accurate and complete when recording your volunteer hours since many worked hours will not be
tracked by anyone except the volunteer (committee chairs for some fundraisers and activities will keep a list).
More than one volunteer activity can be listed on a sheet.
- More than one adult family member can accrue service hours at the same event.
- At the discretion of the Principal, families may be excused from service hour requirements if circumstances prohibit
volunteer time.
- Volunteers must sign the visitor book and wear name tags when participating in a school activity.
Opt Out Plan:
Families may pay their assessment in full by September 30, however they are responsible for service hours and may participate in any fundraisers they may choose.
Teachers with children enrolled in St. John School: Full-time teachers are exempt from assessment and service hours. Part-time teachers’ assessments are reduced by half.
Fund Raising and Volunteering
Volunteer: “A person who performs or offers to perform a service voluntarily.”
Donations: Except for monetary or tangible donations described in Golf Tournament, Walk-a-Thon, and Goods and Services Auction, any other contribution made for any school event or activity is a discretionary gift and does not earn assessment credit or service hours. For example, food or flower donations to the Father-Daughter Dance.
Committee Chair: In addition to managing the committee, the chair or co-chairs of any St. John School committee is responsible for:
- Recording and reporting all volunteer hours completed by all committee members.
- Receiving budget approval for expenses from the principal or HSA Treasurer.
- Keeping and submitting all receipts for reimbursement. Reimbursements are made through the HSA Treasurer.
- Attending the HSA general meetings prior to and directly following the event or activity.
- Providing personal contact information to Mrs. Jensen so she may refer inquiries, requests, etc.
- Using the school’s tax exempt number for reimbursable expenses.
- Submitting all volunteer hour records and fundraising monies no later than one week after the event.
Major Fund Raisers 2009-2010 School Year
Participation in at least one of the four major fundraisers is required. Participation/service opportunities for each of these fundraisers are outlined under below.
Golf Tournament: Benefits science and technology improvements and maintenance. Held in September.
- Service hours: Pre-event, day-of-event and post-event volunteer time.
- Assessment credits: 50% of sponsorships/donations up to $250.00; 90% for those over $250.
Raffle: Benefits general fund and capital improvements. Ticket sales begin in summer and finish with the drawing in fall.
- Service hours: Ticket-selling assignments and committee functions.
- Assessment credit: $25.00 for each ticket sold (tickets are $100 each).
Goods and Services Auction: Benefits the general fund. Typically held in early spring.
- Service hours: Pre-event, night of event and post-event volunteer time.
- Assessment credit: 100% of winning bid amount for your donations, not your purchases (includes Wine Tree donations).
Walk-A-Thon: Benefits general fund. Held in the spring.
- Service hours: Pre-event, day-of-event and post-event volunteer time.
- Assessment credits: Contributions collected by students totaling up to $100 receive 50%; $101 or more receive a 90% assessment credit. Prize donations valued at over $100.00 receive a 50% assessment credit.

NOTE: Because of the time and resource demands of these positions, team coaches, HSA members, and committee chairs of the four major fundraisers receive exemption from annual Volunteer Hours and Assessments.
